How to Password-Protect a PDF Before Emailing It

Email attachments get forwarded, synced to phones and left in inboxes for years. If a PDF contains a salary slip, an Aadhaar or PAN copy, a bank statement or a signed contract, adding a password means a forwarded or leaked copy is useless without it. Protect a PDF step by step

Open Protect PDF and select one or more PDFs. Type a password, then type it again to confirm; the strength meter shows how guessable it is. Press Protect, and the encrypted copy downloads. Anyone who opens it — in Chrome, Adobe Reader, a phone viewer or WhatsApp’s preview — is asked for the password before a single page appears.

Choosing a password that actually protects

Short passwords can be guessed quickly by software. A long passphrase — four unrelated words, or 12+ characters mixing words and numbers — is far stronger than a short password stuffed with symbols.

The “Generate a strong password” button creates a random 16-character password and offers to copy it. It is the safest option when you will send the password separately anyway. Avoid dates of birth, mobile numbers and names — they are the first things people try.

Sharing the password safely

The most common mistake is writing the password in the same email as the attachment. Anyone who gets the email gets both. Send the password another way: tell it on a call, send it by SMS, or use a different messaging app from the one carrying the file.

For documents you send often to the same person, agree on a passphrase once in person and reuse it for that recipient only.

What protection does — and doesn’t — do

An open password stops anyone without it from viewing the document. Once someone opens it with the password, they can read, print and save it like any PDF, so only share the password with people who should read the file.

A password does not remove information. If you need to hide part of a document, such as all but the last four digits of an Aadhaar number, black it out with Redact PDF first and then protect the redacted file.

How your file is handled

Encryption is done on our server, because it needs a PDF engine that browsers don’t include. The file travels over HTTPS, is encrypted immediately and is deleted as soon as the protected copy is sent back. Your password is used only to create the encryption key and is not stored.
