How to Add Your Signature Image to a PDF Form

Many forms still want “your signature here”, and printing, signing and rescanning a document just to add one line of ink is slow. If you already have a picture of your signature — or can take one in ten seconds — you can place it on the PDF directly, size it properly and download a signed copy. Here is how to make it look neat and genuine.
Key takeaways
  • Photograph your signature on plain white paper in good light, then crop it tightly.
  • In Sign PDF, use the Upload tab, then place and resize the signature on the right line.
  • Add the date and your initials with the + Date and + Initials buttons if the form asks for them.
  • Choose “Flatten” before downloading so the signature can’t be moved or lifted out of the file.
  • Signing happens in your browser; saved signatures, if you choose to save them, stay on your device.

Get a clean picture of your signature

Sign on plain white paper with a dark pen — black or blue gel ink photographs best. Take the photo in daylight, holding the phone directly above the paper so there is no shadow. Crop the photo close around the signature.

A PNG with a transparent background looks most natural because the page shows through around the ink, but a well-lit JPG on white paper works well on white forms.

Place it on the PDF

Open Sign PDF and select your document. Choose the Upload tab and pick your signature image. Press + Signature and click where it should go — on the signature line or in the box.

Drag the corners to resize. A real signature is usually about as tall as two lines of text; too large looks pasted on. Use the page thumbnails to jump to the right page, and zoom in to line it up with the baseline.

Add the date, initials or text

Forms often ask for a date next to the signature, or initials on every page. + Date inserts today’s date in the format you choose, + Initials adds a smaller mark, and + Text lets you type a name or place. + Checkmark ticks boxes.

For initials on every page, use Apply to pages → All (or Odd, Even or a range) so the same mark lands in the same spot throughout.

Finish and download

Press Preview signed PDF to see the final result. Keep “Flatten” switched on: it burns the signature into the page so it can’t be dragged away or copied out as an image, which is the safest way to share a signed document. Then press Sign & Download.

If you sign documents often, press Save on your signature. It is stored only in your own browser and appears under the Saved tab next time.

Is an image signature legally valid?

A pasted signature is a simple electronic signature. It is widely accepted for everyday forms, internal approvals, rental paperwork and many applications. Some documents in India legally require a Digital Signature Certificate (DSC) or Aadhaar eSign — certain tax, company and government filings, for example. When in doubt, check what the recipient accepts.

Frequently Asked Questions

What image format should my signature be?

PNG with a transparent background looks best, but JPG or PNG on white paper works well. Crop it tightly around the ink before uploading.

Can I sign on my phone without a scanner?

Yes. Photograph your signature, or draw it with your finger in the Draw tab, then place it on the PDF — all in your phone’s browser.

Why should I flatten the signed PDF?

Flattening makes the signature part of the page, so it can’t be moved, deleted or copied out of the document by someone else.

Is my signature uploaded or stored?

No. Signing happens in your browser. If you press Save, the signature is kept only in your browser’s storage on your device, never on our server.

Can I add the same initials to every page?

Yes. Add your initials once, then use Apply to pages → All, Odd, Even or a range to repeat them.
