How to Edit PDF Text for Free Without Adobe Acrobat

You don’t need an Acrobat subscription to fix a typo in a PDF, change a date on a letter or fill in a flat form. PDF Swing’s Edit PDF has two modes that cover most everyday edits. This guide explains which one to use, how the text matching works, and the limits worth knowing before you start.

Two modes, two jobs

Annotate mode is for adding things: a text box on a blank line, a tick in a box, a highlight, an arrow, a pasted image or signature. The original page underneath is not changed — your additions are placed on top and burned in when you save.

Edit mode is for changing words that are already there. Click a piece of text and it becomes editable. When you save, the old text is removed and the new text is drawn in its place, using the font the PDF originally used, so the change blends in.

Fix a typo or change a date (Edit mode)

Open Edit PDF, select your file and switch to Edit at the top. The first time, the document is prepared on our server, which takes a few seconds for large files. Click the text you want to change, type the correction and click away. Repeat for other changes, then press Save changes.

Because the edit reuses the embedded font, numbers, names and short phrases look exactly like the original. You can also adjust the size, weight and colour of an edited span.

Fill in a flat form (Annotate mode)

Many forms are plain PDFs without fillable fields. In Annotate mode, choose Text, click on the blank line and type. Use the text options to match the font size, and zoom in to line it up. Use Shapes for ticks and boxes, and Image to paste a signature or photo.

Everything in Annotate mode happens in your browser — useful for forms containing personal details.

Limits worth knowing

PDFs often embed only the characters they use (a font subset). If your change needs a letter that doesn’t appear anywhere in the original, it may be drawn in a fallback font. Changing “5,000” to “5,500” always works; adding a word with new letters usually does too, but check the result.

Scanned PDFs are images, so Edit mode has no text to change. Either run OCR PDF to create a text layer, or cover the old text with a white shape and type the new text in Annotate mode. Large rewrites — whole paragraphs — are better done by converting to Word and back.

Privacy

Annotate mode never uploads your file. Edit mode sends the PDF over HTTPS to our server, because reusing embedded fonts needs a full PDF engine; the editing session is deleted when you close the editor and automatically within six hours at the latest.
