How to Add Page Numbers to a Project Report or Thesis PDF

Colleges usually want project reports and dissertations numbered in a particular way: no number on the cover, sometimes none on the certificate and declaration pages, and page 1 starting at the introduction. Doing that in Word with section breaks is fiddly — and if you have already combined everything into a PDF, you can’t go back. Here is how to number the final PDF exactly as required.
Key takeaways
  • Work on the final, merged PDF so numbering matches what the examiner sees.
  • Set “From page” to the first page that should carry a number, and “Start at” to the number it should show.
  • Bottom centre is the most common position; mirrored left/right suits double-sided printing.
  • “Page 1 of N” formats show the total — handy for reports submitted as a single file.
  • Numbering runs in your browser; your report isn’t uploaded.

Plan the numbering first

Look at your college’s format guide or a senior’s approved report. Typical rules: the cover page, certificate, declaration and acknowledgement are unnumbered or use roman numerals, and arabic page 1 starts at the first chapter. Note the PDF page number where chapter 1 begins — for example page 6 of the file.

Add the numbers step by step

Open Add Page Numbers and select your PDF. In Pages, set “From page” to 6 (the first chapter) and “Start at” to 1. Leave “To page” at the last page unless the appendices should be unnumbered.

Choose a position — bottom centre is standard — and a format. “1” is the most common; “Page 1 of 42” is useful when the report is submitted digitally. Pick a font close to your report’s body font, a size of 10–12 pt and a distance from the edge of about 10–15 mm. The preview updates as you change settings; use the arrows to check the first numbered page and a later one. Press Add page numbers to download.

Double-sided printing

If the report will be printed on both sides, switch on “Mirror on facing pages” with a left or right position. Numbers then sit on the outer edge of every page, the way printed books do it.

Custom formats

Choose Custom to write your own format using {n} for the page number and {total} for the total — for example “Project Report – Page {n}” or “{n} | {total}”. This is handy for headers required by some departments.

Before you submit

Check that the table of contents matches the new numbers — if chapter 1 now shows page 1, your contents page should say so too. Then compress the PDF if the submission portal has a size limit.

What to do next

Combine the cover, certificate and chapters with Merge PDF before numbering.

Shrink the numbered report with Compress PDF if the portal has a limit.

Add a DRAFT watermark with Watermark PDF while the report is under review.

Put pages in the right order with Organize PDF before you number them.
